2. What we collect

Contact details: name, email, phone, company and job title.
Project details: event dates, preferences, guest lists and notes that you share with us.
Travel details: passport details, dates of birth and travel preferences, when we book travel for a participant.
Health details: dietary needs, allergies, access needs and medical information relevant to safety on an adventure. We collect these only with consent.
Payment details: billing name, address and payment records. Our payment processor handles card data. We never see or store full card numbers.
Technical data: IP address, browser type and pages visited, recorded in standard server logs when you visit this website.

3. How we use it

To answer inquiries and prepare proposals.
To plan and produce your project, including bookings with venues, vendors and travel providers.
To take payments, issue invoices and pay refunds.
To keep participants safe on adventures and at events.
To meet our legal, tax and accounting duties.
To protect this website and our business against fraud and misuse.

We do not use your data for advertising, and we do not send marketing email unless you ask us to.

4. Legal bases

Where the EU or UK General Data Protection Regulation (GDPR) applies, we rely on these legal bases: performance of a contract with you, our legitimate interests in running our business, compliance with legal duties, and your consent. We rely on consent for health details. You can withdraw consent at any time.

5. Who we share it with

Venues, vendors, crews, guides, airlines, hotels and insurers involved in your project, and only the details each one needs.
Payment processors and banks, to take payments and pay refunds.
Professional advisers, such as accountants and lawyers, under a duty of confidentiality.
Authorities, when the law requires it.

We do not sell or rent personal data, and we do not share it for cross-context advertising.

6. International transfers

We produce projects worldwide, so your data may go to countries outside your own. When we transfer data out of the European Economic Area or the UK, we use safeguards approved by the law, such as standard contractual clauses.

7. How long we keep it

Client and payment records: 7 years, to meet tax and accounting rules.
Inquiries that do not become projects: 2 years.
Health and passport details: until the project ends, then deleted, unless the law requires otherwise.
Server logs: 90 days.

8. Security

We protect personal data with access controls, encryption in transit and careful vendor selection. Only people who need the data for a project can see it.

9. Your rights

Depending on where you live, you can ask us to:

Give you a copy of your data, or send it to another company.
Correct or delete your data.
Restrict or object to how we use it.

To make a request, email info@litanyevents.com. We reply within 30 days. In the EU and UK, you can also complain to your local data protection authority.

California residents have the right to know, delete and correct their personal information, and the right not to face discrimination for using these rights. We do not sell or share personal information as the California Consumer Privacy Act defines those terms.

10. Cookies

This website does not use analytics, advertising or tracking cookies.

11. Children

This website is not directed at children under 16, and we do not knowingly collect their data online. We collect details about a minor who joins a program only from a parent or guardian.

We may update this policy. The date at the top shows the latest version.
